CourseLeaf Section Scheduler (CLSS) streamlines how colleges and universities determine their class sections each term—everything from inputting, editing, validating, approving, and updating the sections.
An approvers task is to monitor the approver queue that is assigned to your role, (Role examples: LA Dean, ATM Chair, BIOL/WLF Dep Room Approval, etc.).

All approvers review/edit, rollback, or approve proposed changes to courses, programs, sections, and catalog pages through the same site, called Approve Pages.

The Approve Pages site has three main areas; pages pending approval, page info, and page review.

When an item is submitted to the workflow an approver will receive an email similar to this:

The link the red arrow is pointing will take an approver directly to their CourseLeaf approver queue.

The link the black arrow is pointing will take the approver to the section in CLSS.

Please do not list these emails as Spam but do check your spam folder if you do not receive these notifications.
There are two ways to get to your approval queue:

  • Go here: https://nextcatalog.uaf.edu/courseleaf/approve/
    • It is highly recommended to bookmark this link.
  • When you receive an email notification that you have items for review, there will be a link that will take you directly to your queue. 
    • It is highly recommended to bookmark that link.

This area lists proposals for the selected role. When a role is chosen, proposals will appear in the PAGE area. Each proposal needs an approver to review, edit, rollback, or approve it. Click "Refresh List" to update the list with any new proposals.

Approvers will receive an auto-generated email when there is content to approve. The email contains a link that directs to the correct role, where logging in with a UA ID and password may be required.

To change roles, click the "Your Role" drop-down menu. It lists all roles with pending approvals, not just the ones assigned to you, and will not show roles without pending proposals.

Usually, the role listed won't be your name, but the position you hold. For example, if you're the MT Dean Approver, select that role to approve sections in that queue. If you're also the ATM Chair, switch to that queue to approve course and program changes.

To open the Page Review, click on a proposal in the list. This allows you to review, edit, rollback, or approve it. The blue PAGE REVIEW bar lets you hide changes (removing the red/green mark-up), view changes by user, edit, rollback, or approve the proposal.

When reviewing, note the red/green markup.

  • Red indicates deleted text
  • Green indicates new text

If the proposed changes are acceptable, click the green "Approve" button to move them to the next step in the workflow. Approving a proposal removes it from the queue. The "In Workflow" section shows who approved the change previously, where it is now, and where it will go next.

If a section or schedule needs editing or re-examination by someone who approved it earlier, an approver can roll it back using the red "Rollback" button. This opens the Rollback Page Window, where you select the user or role to send it back to and add a comment. A comment is required to roll back a proposal.

The selected user will get an email notification with the author and comment included. They, and every approver after them, will need to review and approve the proposal again.

**In Design Mode, only one person can validate and submit the schedule, even if they didn't make the changes being rolled back. If someone else made the change, list their name in the rollback comments so the initiator can forward the rollback email to them.**

CLSS has two modes: Design Mode and Refine Mode.

Schedules will be in Design Mode when working on an upcoming semester. In Design Mode, all units will be submitted as a whole unit. All edits, deletions and additions are made before validation and starting the workflow. None of the submissions will sync to Banner until they are out of the workflow.

Schedules that have made it through the workflow in Design Mode will then be in Refine Mode. All schedule edits will be submitted one at a time to the workflow and all changes will sync in realtime to Banner and UAOnline.
